WHAT IF I NEED TO CANCEL?

Delegates who find themselves unable to attend the Conference after submitting a registration form, are most welcome to nominate a substitute. In the case of a cancellation, delegates must inform KE Creative Events in writing of their inability to attend. A refund of the registration fee, less a cancellation fee of $110.00 (AUD$) including GST will be made 14 days after the date of cancellation.

NO refunds will be made after 23 September 2022.

Any changes made to a registration within seven (7) days of the conference will incur a $40.00 administrative fee.

In the event there is a shut down preventing the Conference to proceed as planned, SAE-A will endeavour to re-schedule the Conference within 4 months of the postponement or deliver the event virtually.  At this time a refund will be available according to the actions available, including a full refund less admin fee should the Conference not proceed in any form.

In the event there is a hard lock down preventing delegates from travelling into Victoria, a partial refund will be applicable again dependent on delivery actions taken. SAE-A will endeavour to provide attendees access to the Conference via the live platform or a full recording of the conference to watch at a later date.

CANCELLING YOUR SPONSORSHIP/EXHIBITION

If SAE A is prevented from carrying out its obligations towards the conference you booked exhibition/sponsorship for, as a result of any cause beyond its control, such as acts of God, strikes, labour disputes, government travel restrictions, unavailability of hotel or facility, commodities or supplies, war or apparent act of war, terrorism, disaster, civil disorder, epidemic or pandemic, curtailment or restriction on transportation facilities, or any form of comparable natural calamity, casualty or condition (collectively a “Force Majeure”), SAE A shall have the right to immediately terminate/cancel or postpone the affected conference without liability and shall be relieved of its obligations to the registrant.

CANCELLATION OF THE EVENT BY SAE-A

In the event of a full cancellation of the AVTC - APAC21 in Melbourne VIC by the Host Organisation, all exhibition/sponsorship fees will be refunded in full, or if the event is postponed you will have the option to carry over to the new dates.

CANCELLATION OF SPONSORSHIP OR EXHIBITION BOOKING BY THE SPONSOR

In the event that You cancel your exhibition/sponsorship package on or before 30 days of the event, cancellations postmarked on or before, 30 Days before the conference will not incur a penalty and monies paid, less the 50% deposit, will be refunded back to the nominated bank account. If the cancellation by You on or before 30 days of the event is related to COVID-19, i.e. your company policy at the time or government travel restrictions, then the deposit will also be refunded. 

In the event that You cancel within 30 days of the Event, You will not receive any refund.  Any monies outstanding at cancellation will need to be paid in full.

LATE REGISTRATIONS

Delegates who choose to register onsite will be required to pay for all related costs immediately by cash or credit card. Receipts will be provided when you register.

Any registration received within 30 days of the conference will be considered a late registration.  While the the Event organisers will do their best to accommodate all registrations, they will not cannot guarantee that collateral, such as satchels, or conference specific hand-outs, will be available to late registering delegates. This policy has been implemented to ensure seamless coordination and execution in the lead up to the Conference for everyone involved. 

CANCELLING YOUR ACCOMODATION

Please contact Hyatt Place Essendon Fields direct to cancel your accommodation prior to the Conference. If you need to cancel your accommodation booking within 30 days of your arrival date any cancellation fees will be subject to the hotel cancellation policy. Therefore, no accommodation refund can be guaranteed within 30 business days of the Conference. If you alter your accommodation booking after you have checked in, please deal directly with the hotel. If you arrive 24 hours later than your indicated arrival day you may find that the Hotel will charge you for the missed night.

LOSS AND INJURY

All conference participants are advised to procure their own insurance to cover all risks including (but not limited to) costs of travel, accommodation, conference fees, personal property, health and medical expenses, injury, death and all other risks. The conference, host organisation and organisers will not be held liable for any claims under any circumstances.
